Terms & Conditions

The Brand Lab Breakthrough

We can’t wait to get started on your project! Ahead, we’ve mapped out all the deliverables for this project so you know what you’ll be receiving, a list of the brand assets that you’ll need to provide before we get started (see Client Responsibilities), phases and the revision process so you can plan accordingly! This ensures every project is a major success from the start.

Brand Maximizer

Ultimate Brand Style Guide: Agency to create comprehensive brand guidelines, including:

  • Logos:
    • Horizontal, vertical, symbol/icon, (versions with/without), simplified versions; colored, black & white; show examples of how to use the logos, and how not to use the logos
  • Color palette
  • Typography
  • Brand icons (up to 12)
  • Social media post examples (3)
  • Ad examples (3)*
  • Stationary examples*
  • Branded merchandise mock-ups*

*Print-ready files and layouts are available upon request for an à la carte upgrade.

Website Design: 

  • Fully-designed WordPress Website: Up to 5 pages with up to 2 revisions per page within the 3-month timeline. 
  • Website Creation includes:
    • Graphic Design
    • Copywriting
    • Development
  • Home Page Video Upload (Optional): Creation of a 30-second hero or footer video using stock videos or brand-provided footage that loops.

Targeted SEO Research Suite: 

  • Comprehensive Keyword Report: Industry Customized for up to 3 keywords.
  • Competitor Keyword Research: up to 3 competitors analyzed.
  • Hashtag Research: we’ll map out ideal hashtags for your social media efforts based on your industry and audience (up to 50 hashtags).

Google-Friendly SEO-Optimized Blog Posts (3): 

  • Content: 750-word blog posts researched and written based on discussion of brand’s SEO goals
  • Branded featured graphic: Custom graphic for each blog post.
  • Upload: Posts will be uploaded to your website.
  • Google Search Console Set-up: we’ll handle the tech involved in connecting your domain to Google Search Console. 
  • Indexed in Google Search Console: we’ll make sure all your webpages are visible to Google so that your searchability increases.

Social Media Accelerator:

  • Social Media Creative Brief Roadmap: we’ll design your go-to guide for content creation—outlining your brand voice, visual direction, content pillars, audience, and post examples to keep your social media consistent, strategic, and on-brand.
  • Professional Business Page Creation or Update on all of the following platforms: Linkedin, Instagram, and Facebook.
    • Profile picture set-up (all 3 platforms)
    • Banner design (Facebook & Linkedin)
    • Brand profile information uploaded onto pages (all 3 platforms)
  • 3-months of Social Media Graphics:
    • Graphic design: 8 static post graphics per month, totaling 24 graphics. 
    • Caption writing: 24 captions total.
    • Done-for-you scheduling and posting for the 24 posts (optional)

Note: At this time we do not create video content for social media. Static social media graphics only. 

PRE-PROJECT CONSULTATION

Agency shall provide Client with one Pre-Project consultation. 

The Parties shall agree on an acceptable date and time for conducting the Visionary Kick-Off Call, which is the pre-project consultation, via Zoom. This consultation may be scheduled no later than 10 business days from the day the client sends through first payment and agrees to the terms and conditions. 

COST

The total cost of all services Agency agrees to provide to Client on a monthly basis for the Brand Lab Breakthrough (the “Total Cost”). Total Cost is inclusive of Agency’s Services, any setup time, and out-of-pocket costs,  administrative fees, assistance, and subcontractor costs.

Monthly Cost: $4,500 per month, for 3 months. 

Total Cost: $13,500.

 

 

CLIENT RESPONSIBILITIES

To ensure a smooth project, the client must provide all brand assets within 7 days of the project start date.*

This includes, but is not limited to:

  • Complete the Visionary Questionnaire (provided via email upon signup)
  • Brand Guidelines
  • All logo files
  • Brand Colors
  • Brand Fonts
  • Brand Graphics
  • Photo Assets (including leadership headshots, if applicable)
  • Video Assets 
  • Full Admin Access to the following Social Media Platforms: Facebook, Instagram, Linkedin
  • Admin Access to web domain URL & SSL certificate
  • Share Any Brand Requirements Up Front
  • Share Any Rules & Regulations Up Front

*The official project start date is the date of the Visionary Kick-Off Call. The Visionary Advantages Team cannot commence work until all brand assets are received and access is granted across all necessary platforms. If your brand has existing materials in any of the above categories, please provide them. If you do not, our team will create them as part of this project.

PROCESSES, REVISIONS, & TIMELINES

To help you track where we are in your project and know what’s expected when, here’s a phase-by-phase breakdown of the Brand Lab Breakthrough experience. This structure keeps everything on track so we can create magic without delay!

Phase Completion Process: Each phase is broken down to ensure we’re all on the same page and remain within our project’s goal timeline. Once a phase is complete, the projects within that phase and revision rounds are considered approved and completed. However, if change requests are made after they have already been approved and considered complete, the new revisions will be charged at our $125 hourly rate. 

PHASE 1: Strategy & Setup (Weeks 1–2)

Estimated Timeline: Weeks 1–2
Focus: Brand Alignment

What Happens:

    • Visionary Kick-off Call (Up to 90 minutes)
    • Client submits brand assets, questionnaire, and access credentials (see Client Responsibilities)
    • SEO & Hashtag Research begins: research based on brand’s approved direction given on Visionary Kick-off Call
    • Once we have all your assets ready to go: we’ll start designing your logo!
    • Logo Review Call

Client Deadlines:

  • Submit all brand assets within 7 days of the Kick-off Call
  • Confirm keyword focus for SEO report on Kick-off Call
  • Submit logo revision requests within 3 business days of receiving the designs

PHASE 2: Brand Identity Design (Weeks 2-6)

Estimated Timeline: Weeks 2–6
Focus: Crafting your signature look.

What Happens:

  • Using our strategic planning, our team will create the first draft of your Ultimate Brand Style Guide
  • Logos, colors, typography, icons, social media examples, ad examples, merch mock-ups
  • Up to 2 revision rounds for each brand guide section
  • Final Brand Guide delivered for approval
  • Social media design direction locked in

Client Deadlines:

  • Provide feedback within 3 business days of each brand guide draft
  • Approve brand guide before website design begins
  • Social media special requests must be communicated before we can start creating captions and designing posts.

PHASE 3: Website Design & Development (Weeks 5–11)

Estimated Timeline: Weeks 5–10
Focus: Design & Development

What Happens:

  • Home Page Design → up to 2 revision rounds
  • We need a confirmed home page design approval before moving into design for the other webpages, so it’s critical we get this page revised and approved in a timely manner! 
  • Other Page Designs (4) → up to 2 revision rounds per page
  • Website Development begins upon approval.*
  • Website Revision Process: up to 2 revision rounds per page

Client Deadlines:

  • Approve each phase to avoid delays
  • Submit feedback within 3 business days of each milestone

*Once a page is approved for development, only minor updates—like text edits or photo swaps—can be made. Major design changes beyond text edits or photo swaps require a separate scope of work.

What Goes Beyond a Text Edit or Photo Swap?
Once a design is approved and moves into the next phase, we consider that version final (with the exception of text edits and photo swaps on webpage designs when it is in the development stage).

If you need larger updates down the road—like new mockups, original artwork from our team, major color adjustments that impact the full page, or adding brand-new sections—those requests are considered a fresh design phase and will be scoped accordingly at our $125 hourly or a project-based rate.

PHASE 4: Social Media + SEO Blog Content (Weeks 8–12)

Estimated Timeline: Weeks 8–12
Focus: Building your brand’s content base

What Happens:

  • Social Media Creative Brief Creation: 
    • The creative brief includes the following pages: Cover, Goal page, Brand Basics page, Content Pillars (up to 5), Social Media Direction page, Core Pillar Example pages (up to 5), sample desktop and mobile mock-ups, “do’s and don’ts” table for ongoing edits, End page
  • Social media business page creation or update (3 platforms: Linkedin, Facebook and Instagram)
  • 24 custom graphics + captions (up to 2 revision rounds)
  • SEO blog post creation & one branded photo for each blog (3 posts, 750 words each, uploaded.) Up to 2 revisions. 
  • Website launch or continued web hosting option
  • Schedule Social Media Posts to go live

Client Deadlines:

  • Provide social media creative brief and graphics/caption feedback within 3 business days
  • Provide blog feedback and revision requests within 3 business days.
  • Approve final website to go live or opt into Visionary Managed Hosting within 30 days
  • Approve social media post schedule. If you’d prefer to schedule the posts 30+ days after our 3-month project ends, we will hand off the final graphics and caption deliverables for you to schedule when you’re ready.   

Website Launch Timeline

You have 30 calendar days to launch once we reach the end of the 3-month project. If you’re not ready to launch and want to delay it, you may continue to remain on our Visionary Managed Hosting plan for $154 per month. This will automatically be charged to your credit card, unless you opt to move your website to another hosting platform. If you opt to move to another platform, we will help you do so within this 30-day timeframe. The launch will then be considered client-led and Visionary Advantages is no longer responsible for launching the website within this project’s scope. 

If you need help launching at a later time, we are always here to help! For delayed launches, we offer ongoing support plans and hourly assistance projects. 

Social Media Scheduling Timeline

This project includes “done-for-you” social media scheduling and posting. We start scheduling posts to go live at the end of the 3-months as soon as your brand is ready to launch the website. We schedule the posts at a 2+ posts per week cadence on average, until we finish posting the 24-social media posts we created for you (maximum of 3-months post-launch.) 

If your brand is not ready to start scheduling its social media posts within 30 calendar days after our 3-month project is complete, Visionary Advantages will hand off the social media captions and graphic deliverables for the brand to post at their own discretion. Visionary Advantages will no longer be responsible for scheduling and posting the brand’s social media at this point. 

LATE REVISION REQUESTS

To keep everything on track, it’s important to submit revision requests by the agreed upon deadline for each phase. 

Revisions received after the deadline will incur an additional fee of $100 for every 5 business days past the deadline. This helps us keep the project moving efficiently! For example, if your revision request is due by October 10th and we don’t receive feedback until October 15th, a $100 fee would be applied. If revisions are received after October 20th, the fee would increase to $200. 

Late revisions may also impact the overall project timeline. 

*Fees for late revisions will be automatically charged to the credit card on file.

REVISION LIMITS AND FEES

Each design phase includes up to 2 revision rounds. Should additional revisions be needed beyond the included rounds, or if requests are submitted after the approval deadline, they will be billed at $125 per hour. This helps us maintain a focused workflow that allows us to deliver the project on time.

Revision rounds do not roll over at any time. 

Once a deliverable has been approved and confirmed by the brand, that part of the project is considered complete.

Examples:

  • If your logo is approved and we begin the next design stage of your brand guide, revisiting the logo later would be treated as a new project and billed at either our standard logo package rate or hourly—depending on the scope of the changes.
  • If your homepage design is approved to move into development, any changes beyond text edits or photo swaps will be billed at our $125 hourly design rate or scoped as a separate project.
  • If you approve an SEO-blog article headline/theme during our SEO strategy discussion and our team writes the article, we can make copywriting edits and adjustments. However, changing the entire topic or theme for a rewrite would be considered a new scope.
  • Once your social media posts are approved, they’re considered completed. If your brand chooses to delay posting—especially for time-sensitive content like holiday promotions—we aren’t able to replace those posts retroactively. Any additional posts or revisions requested after approval will be treated as a new project scope and billed accordingly.

We are excited for the opportunity to collaborate and bring your brand to life! 

CANCELLATION & REFUND POLICY

Once the project begins (upon completion of the Visionary Kick-off Call), the client is responsible for payment of the full 3-month term. Due to the highly customized nature of our services and the significant upfront strategy and design work performed, no refunds will be provided once the project is underway. If a client chooses to cancel early, they are still responsible for any remaining payments.
