Visionary Advantage Pro

We can’t wait to get started on your project! Ahead, we’ve mapped out all the deliverables for this project so you know what you’ll be receiving, a list of the brand assets that you’ll need to provide before we get started (see Client Responsibilities section), phases and the revision process so you can plan accordingly! This ensures every project is a major success from the start.

Brand Language Guide: We’ll create a Brand Language Guide that outlines key brand words, preferred phrases, tone of voice, and messaging direction — providing a clear reference to guide all caption writing, blog content, and ongoing brand communications.

20 Professional Social Media Posts Per Month on the following platforms (typical scheduling cadence at 5 per week):

Note: At this time we do not create video content for social media. Static social media graphics only. 

PRE-PROJECT CONSULTATION

Agency shall provide Client with one Visionary Kick-off Call session. 

The Parties shall agree on an acceptable date and time for conducting this consultation call via Zoom. This consultation may be scheduled no later than 10 business days from the day the client sends through first payment and agrees to the terms and conditions. 

COST

The total cost of all services Agency agrees to provide to Client on a monthly basis for the Visionary Advantage Pro (the “Total Cost”). Total Cost is inclusive of Agency’s Services, any setup time, and out-of-pocket costs,  administrative fees, assistance, and subcontractor costs.

One-Time Set-up Fee: $500

Monthly Cost: $1,650 per month, for a 3-month minimum commitment. 

CLIENT RESPONSIBILITIES

In order for the Agency to get started, the client must provide all of brand assets within 7-days of the project start date.* This includes, but is not limited to, the following:

  • Complete the Visionary Questionnaire (provided by Visionary Advantages via email once you sign up!)
  • Brand Guidelines 
  • All logo files
  • Brand Colors 
  • Brand Fonts
  • Brand Graphics 
  • Photo Assets (including leadership headshots, if applicable)
  • Full Admin Access to Social Media Platforms: Facebook, Instagram, Linkedin
  • Share Any Brand Requirements Up Front
  • Share Any Rules & Regulations Up Front

*The official project start date is the Visionary Kick-Off Call date. Visionary Advantage Team cannot start projects until all brand assets are received and access is granted across all necessary platforms. 

PROCESSES, REVISIONS, & TIMELINES

To help you track where we are in your project and know what’s expected when, here’s a phase-by-phase breakdown of the Visionary Advantage Pro experience. This structure keeps everything on track so we can create magic without delay!

Phase Completion Process: Each phase is broken down to ensure we’re all on the same page and remain within our project’s goal timeline.

Once a phase is complete, the projects within that phase and revision rounds are considered approved and completed. However, if change requests are made after they have already been approved and considered complete, the new revisions will be charged at our $85 hourly rate. 

Month 1: Strategy & Set-Up

Phase 1: Brand Alignment (Week 1)

  • Estimated Timeline: Week 1
    Focus: Brand alignment

    What Happens:

    • Visionary Kick-off Call (1)
    • Client submits brand assets, questionnaire, and access credentials (see Client Responsibilities)
    • Brand Language Guide, SEO Keyword, Competitor, and Hashtag Research begins: research based on brand’s approved direction given on Visionary Kick-Off Call
    • Once we have all your assets ready to go: we’ll start working on your social media creative brief, writing captions and designing your graphics!

    Client Deadlines:

    • Submit all brand assets within 7 days of the Kick-Off Call
    • Confirm Brand Language Guide direction, SEO, Competitor, and Hashtag keyword focus to research on Visionary Kick-Off Call

Phase 2: Social Media Brand Identity Design & SEO Strategy (Weeks 2-4)

Estimated Timeline: Weeks 2-4
Focus: Crafting your signature look.

What Happens:

  • We’ll create branded content that aligns with your social media goals and brand identity we discussed on the Visionary Kick-Off Call. 
  • Between weeks 3-4, we’ll have one review call to go over the content together for approval. If any revisions needs to be made, we’ll discuss! 
  • On the call, we will also review suggested blog post topics and headlines for your approval and core content pillars, so we have a content plan mapped out for the next 6 months.

Client Deadlines:

  • Client will need to share any revision requests within 3 business days of receiving the Social Media Creative Brief. 
  • Client will need to review and share any revision requests for the social media content (both captions and graphics) within 3 business days. 
  • Client to confirm if Blog themes are approved for the upcoming months. 
  • Client to approve Brand Language Guide on the review call- or within 3 business days of receiving.

Phase 3: Revisions & Finalization (Weeks 3-4)

Estimated Timeline: Weeks 3-4
Focus: Final Review & Scheduling

What Happens:

  • You’ll receive up to 2 rounds of revisions during your first month in the Visionary Advantage Pro program to ensure we’re aligned on your future content.
  • Agency applies edits and reshares updated files for review.
  • Agency to schedule blog content and social media posts for the month. 

Client Deadlines:

  • Client will need to approve or share any revision requests within 3 business days of receiving the revised social media posts and blog.

Ongoing Monthly Social Media Process (Starting Month 2)

Weeks 1-2

Estimated Timeline: Weeks 1-2
Focus: Monthly Caption writing

What Happens:

  • Our team will be writing your monthly captions and blog posts.

Client Deadlines:

  • Please be sure to submit any special content requests before the 1st of the month for it to be included. 

Weeks 2-4

Estimated Timeline: Weeks 2-4
Focus: Monthly Graphic Design

What Happens:

  • Our team will be designing your monthly graphics.

Client Deadlines:

  • Once the blog and social media posts are ready each month, the Agency will share content with the Client for review (we aim to send content for review between the 20-25th of the month). This includes one-round of revisions upon request. 
  • Approval Timelines: The Client must submit all revision requests within three business days of receiving the completed assets.
  • After this, the content will be auto-approved to move forward to schedule and post. 

Week 4

Estimated Timeline: Weeks 4
Focus: Monthly Content Scheduling

What Happens:

  • Our team will schedule your content for the month

Client Deadlines:

  • Please let us know by the 1st of the next month if you have any special requests for content (upcoming events, topics you want covered, etc.)

FAQ

We know questions come up along the way! Here are answers to some of the most common questions about your Visionary Advantage experience.

When & how will I receive the content for review each month?
We’ll email you an easy, collaborative Google document every month with your new content, ready for review. In that email, we’ll also let you know when your revision notes and approval are due. We aim to send these out between the 20th–25th of each month (timing may vary slightly due to weekends, holidays, or additional behind-the-scenes refinements to make your content shine).

How do I submit revision requests?
You’ll be able to type directly into the collaborative Google documents we send you each month. The document includes side-by-side columns that display your captions and graphics for review, with a column right next to them where you can add any revision notes. Blog posts will be sent in a separate Google Doc — simply leave your comments or edits directly in that document, and we’ll handle the updates from there.

What happens if I miss the revision window and the content auto-posts, but I later want something changed?
Once content is approved or auto-approved and scheduled, any requested changes after that point would require a new scope of work and will be billed at our standard $85/hour rate.

What if I have revision requests after the 3-business day deadline?
If additional revisions are needed or requests are submitted after the deadline, a fee of $85/hour will apply to ensure we’re collectively staying within scope and delivering your project on time.

How will I receive the monthly social media report?
We’ll email you your monthly report during the first week of the new month.

How do I request my Monthly Live Update call?
We’ll include a calendar link in the same email as your monthly report. You can use this link to schedule your 30-minute Monthly Live Update call at your convenience. The email will go out during the first week of each month.

What’s included in the Monthly Live Update call?
Your Visionary Advantage Pro package includes one 30-minute Monthly Live Update call (upon request). During this call, we’ll review your monthly social media report together, discuss results, collaborate on next month’s content, and address any adjustments you’d like to see in future posts.

What do the Monthly Live Update calls NOT include?
The Monthly Live Update calls do not include full strategy consulting. If you’d like more in-depth strategy sessions, we offer a variety of Visionary Strategy Sessions, which you can explore through our Visionary Consulting Services

What if I don’t request my Monthly Live Update Call? Can I roll it into another month? 

If you’re busy and choose not to schedule your Monthly Live Update Call, that’s totally okay! Just know that calls are available on a month-to-month basis and do not roll over. Each month is treated as a fresh opportunity for us to connect and align on your content.

LATE REVISION REQUESTS, REVISION LIMITS, & FEES

To keep everything on track, it’s important to submit revision requests by the agreed-upon deadline for each milestone. 

You’ll receive up to 2 rounds of revisions during your first month in the Visionary Advantage Pro program.

For ongoing months after, 1 round of revisions is included  at no additional cost. If more revisions are needed, or requests come in after the deadline, a fee of $85 per hour will be applied to ensure we’re collectively staying within scope and delivering your project smoothly and on time.

Approval Timelines: The Client must submit all revision requests within three business days of receiving the completed assets. After this, the content will be auto-approved to move forward to schedule and post. 

Late revisions may also impact the overall project timeline, which will be discussed as needed. 

*Fees for additional or late revisions will be automatically charged to the credit card on file.

CANCELLATION & REFUND POLICY

The Visionary Advantage Pro package is a 3-month minimum commitment. After the initial 3-month term, services will continue on a month-to-month basis unless canceled in writing. Due to the customized nature of this work and the significant time investment, no refunds will be provided once the current month’s work is underway.
