Terms & Conditions

The Visionary Ecomm Shop Pro

We can’t wait to get started on your project! Ahead, we’ve mapped out all the deliverables for this project so you know what you’ll be receiving, a list of the brand assets that you’ll need to provide before we get started (see Client Responsibilities section), phases, and the revision process so you can plan accordingly! This ensures every project is a major success from the start.  

SERVICE DELIVERABLES:

  • Individual Product Uploads (Quantity To Be Determined– Client to Confirm with Visionary Team)
    • Agency to set-up photos and product information. (Quantity To Be Determined– Client to Confirm with Visionary Team)
    • Product information & photos to be provided by Client. (Quantity To Be Determined– Client to Confirm with Visionary Team)
  • Product Template page:
    • Includes Graphic Design and Development.
  • 404 Page
    • Includes Graphic Design and Development.
  • Thank You Page
    • Includes Graphic Design and Development.
  • FAQ Page
    • Includes Graphic Design, Copywriting and Development.
    • Client to provide list of FAQs (up to 20).
  • Shipping & Return Policy
    • Includes Graphic Design and Development.
    • Client to provide policy.
  • Terms & Conditions/Privacy Policy
    • Includes Graphic Design and Development.
    • Client to provide policy.
    • Agency is not responsible for any legal liabilities or action.
  • Woocommerce & Payment Processor Connection
    • Agency to set-up payment processor for functionality. 
    • Client is responsible for coordinating bank credentials with payment processor in a timely manner in order for Agency to complete set-up. This must be set-up 20 days prior to website launch date.
  • Smart Form CRM Integration
    • This could be one of the following: subscribe form, contact us, schedule a call form, etc.
    • Client to provide admin access to CRM so Agency can properly set-up and make the connection.*
  • Shopping Cart Page
    • Design & Development

 

PRE-PROJECT CONSULTATION

Agency shall provide Client with one Pre-Project consultation call. 

The Parties shall agree on an acceptable date and time for conducting the Pre-Project consultation via Zoom. This consultation may be scheduled no later than 10 business days from the day the client sends through first payment and agrees to the terms and conditions. 

COST

The total cost of all services Agency agrees to provide to Client on a one-time basis for the Visionary Ecomm Shop Pro (the “Total Cost”). Total Cost is inclusive of Agency’s Services, any setup time, and out-of-pocket costs,  administrative fees, assistance, and subcontractor costs.

Starting at $5,450. Price varies depending on the quantity of products and page add-ons. Must speak to a Visionary Team member before we start the project.

 

CLIENT RESPONSIBILITIES

In order for the Agency to get started, the client must provide all of the brand assets within 7-days of the project start date.*

This includes, but is not limited to, the following:

  • Brand Privacy Policy / Terms and Conditions
  • Shipping & Return Policy
  • Complete shipping details for Woocommerce set-up
  • Complete FAQ list of questions
  • Share Any Brand Requirements Up Front
  • Share Any Rules & Regulations Up Front
  • Access to CRM (to connect email sign-up forms)
  • Finalized product information and photos (title, description, price, variations, product photos) for all individual product uploads.

*The official project start date is the Visionary Kick-Off Call date. Visionary Advantage Team cannot start projects until all brand assets are received and access is granted across all necessary platforms. 

PROCESSES, REVISIONS, & TIMELINES

To help you track where we are in your project and know what’s expected when, here’s a phase-by-phase breakdown of the Visionary Ecomm Shop Pro experience. This structure keeps everything on track so we can create magic without delay!

Phase Completion Process: Each phase is broken down to ensure we’re all on the same page and remain within our project’s goal timeline. Once a phase is complete, the projects within that phase and revision rounds are considered approved and completed. However, if change requests are made after they have already been approved and considered complete, the new revisions will be charged at our $125 hourly rate.

PHASE 1: Tailored Strategy & Design (Weeks 1–3)

Estimated Timeline: Weeks 1–3
Focus: Brand Alignment

What Happens:

  • Visionary Kick-off Call (Up to 60 minutes)
  • Client submits brand assets, questionnaire, and access credentials (see Client Responsibilities)
  • Webpage Design begins: pages designed based on brand’s approved direction discussed on Visionary Kick-Off Call.

Client Deadlines:

  • Submit all brand assets within 7 days of the Kick-off Call
  • Confirm pages and any special design requests on Kick-off Call
  • Submit revision requests within 3 business days of receiving the designs.
 

PHASE 2: Shop Build & Configuration (Weeks 3-6)

Estimated Timeline: Weeks 3–6
Focus: Digital Storefront Development

What Happens:

  • Webpage Design revisions finalized and approved for development.* 
  • Webpage development begins!
  • Woocommerce & payment processor tech set-up & connection. 
  • Smart Form CRM Integration.
  • Product upload begins, if applicable. See Product Uploads below. 
  •  

Client Deadlines:

  • Submit revision requests within 3 business days of receiving the developed webpages.
  • Client is responsible for coordinating bank credentials with payment processor in a timely manner in order for Agency to set-up. This must be set-up 20 days prior to website launch.

 

*Once a page is approved for development, only minor updates—like text edits or photo swaps—can be made. Major design changes beyond text edits or photo swaps require a separate scope of work.

What Goes Beyond a Text Edit or Photo Swap?
Once a design is approved and moves into the next phase, we consider that version final (with the exception of text edits and photo swaps on webpage designs when it is in the development stage).

If you need larger updates down the road—like new mockups, original artwork from our team, major color adjustments that impact the full page, or adding brand-new sections—those requests are considered a fresh design phase and will be scoped accordingly at our $125 hourly or a project-based rate.

PHASE 3: Go LIVE! (Week 6)

Estimated Timeline: Week 6
Focus: Test your shop!

What Happens:

  • We’ll set-up your site to go LIVE! 
  • Brand to test website for final edits– for example, click around and make sure all buttons are functioning the way you want them to, make a test purchase, etc to ensure you are happy with website’s functionalities. 
  •  

Client Deadlines:

  • Client must decide which hosting platform they’d like to move forward with before site goes live. 
  • Submit all final revision requests within 5 business days of the website going live.
  • Client is responsible for sharing all website input by this deadline. After 5 business days, the project is then considered a new project and will be charged at our $125 hourly rate or at a flat project rate, depending on the project.

Website Launch Timeline

You have 30 calendar days to launch once we reach the end of the 6-week project. If you’re not ready to launch and want to delay it, you may continue to remain on our Visionary Managed Hosting plan for $154 per month. This will automatically be charged to your credit card, unless you opt to move your website to another hosting platform. If you opt to move to another platform, we will help you do so within this 30-day timeframe. The launch will then be considered client-led and Visionary Advantages is no longer responsible for launching the website within this project’s scope. 

If you need help launching at a later time, we are always here to help! For delayed launches, we offer ongoing support plans and hourly assistance projects. 

Product Uploads

Quantity of product uploads will be discussed and confirmed before the start of the project. The amount of products uploaded will affect the project’s timeline. This timeline will be discussed before the start of the project so we known when to expect the project to be complete.

Once the product specifications are confirmed, all new products and changes are considered a new scope and will be charged at either our $125/hourly rate or as a new project. For example, if you send us all the information and our team has already started setting up your confirmed product, making major changes will be considered a new project. 

 

LATE REVISION REQUESTS

To keep everything on track, it’s important to submit revision requests by the agreed upon deadline for each phase. 

Revisions received after the deadline will incur an additional fee of $100 for every 5 business days past the deadline. This helps us keep the project moving efficiently! For example, if your revision request is due by October 10th and we don’t receive feedback until October 15th, a $100 fee would be applied. If revisions are received after October 20th, the fee would increase to $200. 

Late revisions may also impact the overall project timeline, which will be discussed as needed. 

*Fees for late revisions will be automatically charged to the credit card on file.

REVISION LIMITS AND FEES

For the Visionary Ecomm Shop Pro, we include up to 2 revisions per design phase at no additional cost. If more revisions are needed or requests come in after the deadline, a fee of $125 per hour will be applied to ensure we’re collectively staying within scope and delivering your project on time.

Once a deliverable has been approved and confirmed by the brand, that part of the project is considered complete. Mock-Up designs and revision rounds do not roll over at any time. 

Examples:

  • If your logo is approved and we begin the next design stage of your brand guide, revisiting the logo later would be treated as a new project and billed at either our standard logo package rate or hourly—depending on the scope of the changes.
  • If your homepage design is approved to move into development, any changes beyond text edits or photo swaps will be billed at our $125 hourly design rate or scoped as a separate project.

CANCELLATION & REFUND POLICY

The official start date of the project begins on the next business day after receiving payment.  Due to the highly customized nature of our services and the significant upfront strategy, design, and development work performed, no refunds will be provided once the project is underway.
